What is gwabbit™ for Outlook?

What does gwabbit do?

gwabbit saves you a lot of time when you add Contacts in Microsoft Outlook®.

You can add a Contact in one click, without having to tediously cut and paste each piece of Contact information.

Can't Outlook do this already?

No.

What versions of Outlook, Windows and BlackBerry does gwabbit work with?

Microsoft Outlook 2010 (32-bit and 64-bit), 2007, 2003, 2002 (Office XP), and 2000

Microsoft Windows 7, Vista, XP, and 2000
gwabbit for BlackBerry runs on all BlackBerry models. It requires BlackBerry OS 4.21 and higher.

There is no Mac version.

What kind of program is gwabbit?

gwabbit is an Add-In, sometimes called a Plug-In, created for Microsoft Outlook. An Add-In is a program that adds a new function to another program.

Will gwabbit mess up my computer?

No. Microsoft Outlook was designed to use Add-Ins. The gwabbit Add-In has been rigorously tested with the versions of Microsoft Outlook and Windows listed above. It's not a troublemaker and doesn't slow down your computer. If you are finding any issues with the performance of Outlook with gwabbit installed, do you also have Xobni installed on your Outlook? We suggest that you try gwabbit without Xobni installed, as we have had no reports of gwabbit having any negative effect on Outlook.

What is gwabbit for BlackBerry Premium?

gwabbit for BlackBerry does for BlackBerry what gwabbit for Outlook does for Outlook – it saves you lots of time when you save email contacts into your address book. You can add an email contact in one click, without having to tediously cut and paste each piece of contact information.

What do I get for $9.99?

This is the cost of a 1 year subscription to the product. To keep gwabbing you will need to renew your subscription annually.

What is the gwabbit icon on my BlackBerry and how do I get rid of it (Flashback™)?

The gwabbit icon you see is part of the new Flashback™ feature included in the latest upgrade of the gwabbit for BlackBerry application. You can read about it here: http://blog.gwabbit.com/

The icon just lets you know the number of new contacts that gwabbit detected which you have not yet saved to your address book. These show up as items in your mailbox. When you click on one of the unopened items, you get the opportunity to "gwab" the new contact right at that point.

If you are not seeing the gwabbit items in your usual mailbox, check the main menu of your BlackBerry, there is probably another message folder where you would find SMS messages, voice mail messages, etc., and you should find them there.

The icon shows only the unread/unopened gwabbit items, so once you've opened and captured those contacts, or delete the items from your inbox, the icon will go away.
If you cannot locate gwabbit flashback notification items in any of your message folders, it may be that you have an option set to hide filed messages. From your email message inbox, click on Options, then General Options. Scroll down and find the option "Hide Filed Messages". Set this to "No". You should then find the gwabbit items in your inbox.

What is gwabbit for BlackBerry Free?

The free version of gwabbit for BlackBerry allows you to easily capture and organize contacts in your address book just like the paid version of gwabbit for BlackBerry, with one key difference. Free gwabbit includes an alerting feature that lets your contacts know via email when you have added them to your address book using gwabbit. This services is invaluable for sales and business development. "gwabbees” can opt-out of the gwabbit alert service if they prefer not to stay current on who has added them to their address book. Available exclusively through BlackBerry App World.

Can I turn off the alerting function that sends emails to the contacts I add to my address book using gwabbit?

This functionality is not configurable in the free version of gwabbit for BlackBerry. The only way to prevent the alerting emails from going to your contacts is to purchase the Premium version of gwabbit for BlackBerry. Both versions work the same, except for those alerting emails. There is no alerting email associated with the paid version of gwabbit for BlackBerry. So if you don't want to notify your contacts that you are adding them to your address book, the Premium version is available for just $9.99 per year.

Can I control when gwabbit pops-up for new contacts?

Yes. From the main gwabbit screen of the gwabbit application, you can set the automatic notification ("prompt me when a message contains a signature") to “only if it contains new or updated contact information” so gwabbit won't pop up for contacts already in your address book with the same information; or to "never" so you can launch gwabbit manually only when you choose to gwab a contact.

Why do I get a duplicate name message when I try to save a contact?

By default, the RIM address book allows duplicates. So normally you can create two "John Smiths" in your address book. However there is an option to not allow duplicates. Those who use this option, and have duplicates in their address book, from before the option change or from syncing their desktop address book, will occasionally see a “duplicate name” popup message when trying to update these entries. gwabbit may try to update these too, and will fail in these cases because of the option setting. If gwabbit fails to save the entry, it will show a message saying that this may be because it’s a duplicate entry and your address book does not allow it.

How does gwabbit “gwab” emails from my BlackBerry?

The gwabbit for BlackBerry service is a combination of a device-client, and a backend server. The client monitors opened emails, and checks whether they seem to include the signature of the sender. If so, the client sends the information to the server for processing, and the server returns the results to the client. If a signature is indeed found, the client then prompts the user that contact information was found, and asks if the user wants to save it. It also searches the local address book to see if an address entry exists for that sender, and if so, asks the user whether he wants the information merged into the existing contact, or he prefers a new contact be created. If the information found does not add anything to the existing information, no prompt will appear. This architecture takes the load of the processing off the device, and enables gwabbit to constantly improve the recognition, without frequent client upgrades. It does, however, involve a processing server, and information is submitted to that server. The user can change the settings of gwabbit so that only emails manually sent by him to gwabbit will be processed (manual mode, rather than automatic). gwabbit’s privacy policy can be viewed here http://www.gwabbit.com/privacy.php.

I have the Premium version of gwabbit for BlackBerry, what if I get a new phone?

Contact gwabbit Support, support@gwabbit.com, and provide the PIN of your new phone so we can transfer your paid gwabbit subscription to your new BlackBerry. Otherwise, you may inadvertently install the free version of the application.

Where can I find the PIN for my BlackBerry?

You can find your BlackBerry PIN by clicking on Options from the main menu of your device, then click on Settings or Status.

I have gwabbit installed on my BlackBerry, but it doesn't seem to be working, what should I do?

First, check that gwabbit has been successfully downloaded to your BlackBerry. Check downloads and confirm it is visible there. Make sure you have completed the download process by accepting the license agreement. Also open an email, click Options, scroll to the top and confirm gwabbit is listed. If gwabbit is installed on your phone, check gwabbit Options and confirm that the default setting of "automatic" alerts is applied. When you open an email that contains a signature block for a contact that is not in your address book, the gwabbit alert should pop up asking if you want to create a new contact. Note that the signature block in the email must contain a phone number in order for the alert to pop up. If you do not get an alert and wish to capture the contact, click on Options while the email is open, scroll to the top of the list and click on gwabbit to manually launch the application. If you are still having difficulties, uninstall gwabbit and reinstall the application, and contact Support if assistance is needed:  support@gwabbit.com.

Is there a BlackBerry Enterprise Server (BES) version of gwabbit?

Now available, gwabbit BES (TM) is the enterprise sequel to the award-winning gwabbit for BlackBerry(TM) launched in May 2009. gwabbit for BlackBerry automatically scans for contacts embedded in emails on your BlackBerry Smartphone, and adds or updates that information to your BlackBerry contacts in a single click.

gwabbit BES enhances this capability by providing the security and IT administration tools required for serious enterprise applications. gwabbit BES places its recognition engine securely behind the enterprise firewall, securing information within the organization. gwabbit BES enables IT administration to easily distribute the gwabbit BlackBerry client using the BES Application push. All client settings, including server location are transferred to the client through the secured, IT admin controlled IT Policies of the BlackBerry platform.

Please contact the gwabbit sales team at sales@gwabbit.com for more information.

Will gwabbit still work if I switch wireless carriers?

Yes.  Our BlackBerry version of gwabbit is licensed according to your smartphone's unique personal idenfication number (PIN).  So if you activate your BlackBerry with a new carrier, gwabbit will continue to work just fine.

Using gwabbit

What does gwabbit do? -Step by step

  1. When you open Microsoft Outlook, gwabbit is ready to go. There is no need to open the gwabbit program separately. A gwabbit toolbar appears in Outlook:

gwabbit toolbar for Microsoft Outlook 2007
    Outlook 2007 shown

  2. You check your email in Microsoft Outlook, just as you always do.

  3. gwabbit automatically scans the emails you receive as they come in. gwabbit looks for specific information the sender has included, including the person's name, job title, company, address, and phone and fax numbers.

  4. gwabbit checks if you have the contact already. If you do, it checks whether there is new or updated information in this email.

  5. If gwabbit detects a new contact or updated information:
gwabbit "pops up" a dialogue box.

gwabbit pop-up window to gwab contact info

    6. Click the dialogue box, gwabbit opens a contact window and puts each piece of information in the correct field. If it looks good to you, click "Save" to create the contact or to keep the information.

When will gwabbit gwab contact information?

Contacts will be recognized when your Outlook reading pane is open or the email itself is open (the auto-preview doesn't count; only the reading pane)

But people end their emails in all sorts of ways, how does gwabbit do it?

gwabbit uses sophisticated algorithms (hard math) to identify what belongs in the contact. gwabbit is smarter than the average bear… or rabbit.

Does gwabbit work for emails in languages other than English?

Yes, although less reliably. Expect gwabbit to find many signature blocks in non-English emails. The "Improve Results" button on the Contact window can help. gwabbit's Klingon, however, is terrible.

What happens if there is no signature block?

Even without a signature block, gwabbit can create a contact for you with whatever information can be gleaned from the email, such as the sender’s email address and name.

Can I control the prompt to gwab a new contact?

You can regulate the prompt by going to the Options button in the gwabbit toolbar.

In the "General" tab, you will find several options for control of the frequency of the pop-ups associated with gwabbing contacts from your emails. For each option presented, select the radio button that indicates your preference to control how the product will work for you.

Outlook says this contact is a duplicate. Help me out here.

gwabbit recognizes changes in a signature line. So if the contact has provided a different phone number, address, or other piece of information, gwabbit will prompt you with the contact. If you choose to gwab the contact, a pop-up will appear showing that a duplicate contact has been detected. You will see the existing business card on the left, and on the right you will see the changes to the contact information for comparison purposes. You can choose to add a new contact or update the existing contact by selecting the appropriate radio button and clicking "Update". Or you can simply disregard the changes and press "Cancel".

The gwabbit toolbar does not stay where I place it in Outlook. Why does it move around when I open a message?

The gwabbit toolbar appearing on Outlook's main screen will maintain its position. The persistence of toolbar placement in the message and contact windows is controlled by Outlook itself, it is not controlled by gwabbit. If you have other Outlook plug-ins, you will find that their toolbars behave in a similar way. Please check Outlook Help files on toolbars, to determine options for docking toolbars in your particular version of Outlook.

Why isn't the "Display as" field filled in by gwabbit when I save a contact?

The "Display as" field is not populated by gwabbit, but is populated by Outlook as a default, based on the information entered in the contact name fields when the contact is created. So you will not see it populate when the contact is created, but it should be populated when you go back to the contact later.

Improving Results

gwabbit will automatically find and recognize the contact in your email the vast majority of the time. However there are occasionally certain types of emails or contacts that may confuse gwabbit. For example, when an email includes multiple contacts (gwabbit is accustomed to looking for a single contact), or a contact is in an unusual format. If you do happen to run into a case where gwabbit doesn’t automatically recognize your contact, you can use the Improve Results feature, explained below. You can also use the “Submit Feedback” button in the product to send us your example. These examples help us in our ongoing effort to improve the product so that gwabbit can continue to help improve your Outlook!

gwabbit didn't pop-up? No Problem.

Select the message.

Click the "gwabbit" button (on the gwabbit Toolbar) to analyze the message. An "Improve Results" box will pop-up for contacts that are only email addresses.

You can manually start "Improve Results" in the Outlook Contact window. For Outlook 2007, click the gwabbit menu tab to see the "Improve Results" button.

gwabbit improve results toolbar
Outlook 2003 shown

For earlier Outlook versions, the "Improve Results" command appears on the Contact window menu bar.

After I use “Improve Results”, I don’t see a way to save the contact in Outlook 2007, why?

In Outlook 2007, the gwabbit toolbar appears in a separate tab called "gwabbit". To Save the contact after improving results, you must click the “Contact” tab at the top of the page to access the “save” buttons. For earlier Outlook versions, the "Improve Results" command appears on the Contact window menu bar.

What happens when I use the Submit Feedback button?

If you have a question about how a particular contact is handled by gwabbit, you can send us the contact and your comments by using “Submit Feedback” button in the gwabbit toolbar. A pop-up appears with your email address pre-populated and a text box for your question or comments. When you click "submit", an email is then sent to us with the HTML of the email from which you were trying to gwab the contact and the comments you provide. We do not respond to feedback individually, but we do use the information to help us improve the product. If you have a question or comment for which you wish to receive a reply, please contact Support.

Outlook exclaims: "The text or attachments in the current contact's message body will not be copied to the existing contact. If you wish to keep the new message body information, select Cancel and make a copy of it. If you don't need the new information, select OK." What does this mean and what should I do?

Outlook is referring to the contact notes when it says "current contact's message body." Outlook is telling you the new Notes will not be written to the existing contact. This is usually fine, and you press "OK."

Setting Your Options

Can I control when the gwabbit prompt appears?

By rebooting your computer, this assures that the application is fully closed and the gwabbit software can install properly. Once you restart Outlook, the toolbar should appear.

If after a restart of your PC the gwabbit toolbar does not appear, it may be disabled. Sometimes Microsoft Outlook add-ins will be in a disabled state when Outlook starts due to variables in individual PC environments. To get the toolbar to appear, please follow these steps:

In Outlook, Go to Tools > Customize > Toolbars
• Look to see if gwabbit is there and if so make sure it is checked.

If you do not see gwabbit there, the next step is to determine if it disabled as an Add-in.

• Go to Tools > Trust Center > Add-Ins.
• Look to see if gwabbit is listed as an Active Application Add-in.
• If it is listed as inactive or disabled, press the "Go" button at the bottom of the screen next to "Manage" Com Add-Ins.
• Click on gwabbit and OK to re-enable it.

If you are still not seeing the toolbar:
• Click on Outlook Help > Disabled Items
• Find and highlight gwabbit
• Click Enable, Save changes
• If the toolbar is not visible immediately, restart Outlook

For Outlook 2003:
• On the Tools menu, click Options, and then click the Other tab.
• Click Advanced Options, and then click COM Add-Ins.
• To enable the add-in, select the check box next to gwabbit and click OK.

If you are still not seeing the toolbar:
• Click on Help > About
• Select Disabled Items
• Find and highlight gwabbit
• Click Enable, Save changes
• If the toolbar is not visible immediately, restart Outlook

If the toolbar is still not appearing, gwabbit may not be installed. You can check this by going to your Control Panel (Start>Settings>Control Panel) and clicking on "Add or Remove Programs". If gwabbit is not in the list of programs, please go to the Installation/Unistall section of the FAQ section.

I have Outlook 2010 and don’t see the gwabbit Toolbar, I can't activate the add-in or I'm getting a run-time error?

What we will need to do is ensure the version you downloaded is compatible with your Outlook 2010 version, by determining whether you have the 64 or 32-bit version of Outlook. (The version of Outlook is the important thing, as opposed to the version of Windows).

To determine the "bitness" of your Outlook 2010, click on File + Help, and the "bitness" value will be specified under "About Microsoft Outlook". Ultimately, if you are running a 64-bit version of Office, you will need to install the 64-bit version of gwabbit. Otherwise, the 32-bit version of gwabbit is applicable.

If you previously downloaded the incorrect version of gwabbit, you will need to get the right version installed.

First close Outlook, then, if you have the paid version of gwabbit, go back to the Website's reinstall page: http://www.gwabbit.com/reinstall.php  (for the trial version see below).

Click on the appropriate version of gwabbit, and follow the prompts.

You will be asked (once you launch the gwabbit.msi Installer File) whether you have a Trial or Purchased version. Select Purchased, and your paid license key and licensed email address should automatically populate. If you need your license key, contact support: support@gwabbit.com.

If you have the trial version of gwabbit, you can go back to the trial download page to reinstall: http://www.gwabbit.com/download.php . Fill in the required information and follow the prompts.

The correct version of gwabbit-Outlook 2010 should install. Reopen your Outlook and you should then have the gwabbit toolbar.

What are gwabbit alerts?

Depending on the gwabbit version you have, a useful feature called gwabbit Alerts may be included.  This feature lets your contacts know via email when you have added them to your address book or contacts folder using gwabbit. It is an invaluable tool or sales an business development because of the visibility it provides for you to your customers. "gwabbees" can always opt-out of gwabbit Alerts if they prefer not to stay current on who has added them to their address book.

gwabbit for Outlook, versions 1.2 and later, include gwabbit Alerts.  All free versions of gwabbit for BlackBerry, which is available exclusively through BlackBerry App World, include the service.Do many people opt-out of gwabbit Alerts? The opt-out rate is very low. Only .16% of recipients opt-out. Most recipients seem to like to know when their contact information has been added to a friend or colleague's address book.

 Isn't this just self-promotion?

It's true that we see a promotional benefit from this additional exposure. gwabbit is a small business that does not have the benefit of millions in VC funding. We are growing oiur company organically, which means that we have needed to get creative about promoting our products. And yes, a surprisingly high percentage of recipients have trialed and purchased gwabbit. We are indeed very appreciative of all the support we have received. It's challenging to grow a litlle company in today's economic environment, and we can use all the help we can get.

In spite of the promotional aspect of the alerts, we do not believe that they would be either as successful or as popular if they were not viewed as being useful in some way.  Most seem to like to k now when a friend or colleague has added their contact to their address book. Remarkably, several Free gwabbit users have emailed to let us know that the reason they have not purchased the premium version is because it does not have an alert function.

Can I turn off gwabbit Alerts?
gwabbit Alerts is fully configurable in gwabbit for Outlook.  Simply go to the gwabbit Toolbar in your Outlook, click Options, and then the Advanced tab.  Look for the option that says “Prompt me to tell newly saved contacts about this product.”  Choose the option that best fits your needs and click OK.  Close and restart Outlook, and the gwabbit Alert Feature will be set accordingly. gwabbit Alerts is not configurable in the free version of gwabbit for BlackBerry, though recipients may opt-out of the alerts at any time (over 99.8% do not out out). The Premium version of gwabbit for BlackBerry does not include gwabbit Alerts. The Premium version is available for just $9.99 per year from the website. www.gwabbit.com
