What is gwabbit™ for Outlook?

What does gwabbit do?

gwabbit saves you a lot of time when you add Contacts in Microsoft Outlook®.

You can add a Contact in one click, without having to tediously cut and paste each piece of Contact information.

Can't Outlook do this already?

No.

What versions of Outlook, Windows and BlackBerry does gwabbit work with?

Microsoft Outlook 2007, 2003, 2002 (Office XP), and 2000

Microsoft Windows Vista, XP, and 2000
gwabbit for BlackBerry runs on all BlackBerry models. It requires BlackBerry OS 4.21 and higher.

There is no Mac version.

What kind of program is gwabbit?

gwabbit is an Add-In, sometimes called a Plug-In, created for Microsoft Outlook. An Add-In is a program that adds a new function to another program.

Will gwabbit mess up my computer?

No. Microsoft Outlook was designed to use Add-Ins. The gwabbit Add-In has been rigorously tested with the versions of Microsoft Outlook and Windows listed above. It's not a troublemaker and doesn't slow down your computer. If you are finding any issues with the performance of Outlook with gwabbit installed, do you also have Xobni installed on your Outlook? We suggest that you try gwabbit without Xobni installed, as we have had no reports of gwabbit having any negative effect on Outlook.

What is gwabbit for BlackBerry Premium?

gwabbit for BlackBerry does for BlackBerry what gwabbit for Outlook does for Outlook – it saves you lots of time when you save email contacts into your address book.

You can add an email contact in one click, without having to tediously cut and paste each piece of contact information.

What do I get for $9.99?

This is the cost of a 1 year subscription to the product. To keep gwabbing you will need to renew your subscription annually.

What is gwabbit for BlackBerry Free?

The free version of gwabbit for BlackBerry allows you to easily capture and organize contacts in your address book just like the paid version of gwabbit for BlackBerry with one key difference. Free gwabbit includes an alerting feature that lets your contacts know via email when you have added them to your address book using gwabbit. This services is invaluable for sales and business development. "gwabbees” can opt-out of the gwabbit alert service if they prefer not to stay current on who has added them to their address book. Available exclusively through BlackBerry App World.

Can I control when gwabbit pops-up for new contacts?

Yes. From the main gwabbit screen of the gwabbit application, you can set the automatic notification ("prompt me when a message contains a signature") to “only if it contains new or updated contact information” so gwabbit won't pop up for contacts already in your address book with the same information; or to "never" so you can launch gwabbit manually only when you choose to gwab a contact.

Why do I get a duplicate name message when I try to save a contact?

By default, the RIM address book allows duplicates. So normally you can create two "John Smiths" in your address book. However there is an option to not allow duplicates. Those who use this option, and have duplicates in their address book, from before the option change or from syncing their desktop address book, will occasionally see a “duplicate name” popup message when trying to update these entries. gwabbit may try to update these too, and will fail in these cases because of the option setting. If gwabbit fails to save the entry, it will show a message saying that this may be because it’s a duplicate entry and your address book does not allow it.

How does gwabbit “gwab” emails from my BlackBerry?

The gwabbit for BlackBerry service is a combination of a device-client, and a backend server. The client monitors opened emails, and checks whether they seem to include the signature of the sender. If so, the client sends the information to the server for processing, and the server returns the results to the client. If a signature is indeed found, the client then prompts the user that contact information was found, and asks if the user wants to save it. It also searches the local address book to see if an address entry exists for that sender, and if so, asks the user whether he wants the information merged into the existing contact, or he prefers a new contact be created. If the information found does not add anything to the existing information, no prompt will appear. This architecture takes the load of the processing off the device, and enables gwabbit to constantly improve the recognition, without frequent client upgrades. It does, however, involve a processing server, and information is submitted to that server. The user can change the settings of gwabbit so that only emails manually sent by him to gwabbit will be processed (manual mode, rather than automatic). gwabbit’s privacy policy can be viewed here http://www.gwabbit.com/privacy.php.

Is there a BlackBerry Enterprise Server (BES) version of gwabbit?

gwabbit is in the process of developing an enterprise-based version, in which the processing server will be hosted behind the firewall of the enterprise, and information between the server and the client will utilize only the secured BES connection. Release of this version is expected this summer.

How do I get to the BlackBerry App World on my phone?

Simply visit www.blackberry.com/appworld/download from your smartphone to download. Or, from your computer, enter an email address that’s integrated with your BlackBerry smartphone at http://na.blackberry.com/eng/services/appworld/download.jsp#tab_tab_download and click submit to have a download link sent to you. For more information about the BlackBerry App World visit www. Blackberry.com.  From App World, you will find gwabbit in the Productivity category/sub-category, or you can find it by searching for "gwabbit".

How do I download Gwabbit if my country does not have the BlackBerry App World yet?

You can also purchase gwabbit directly from www.gwabbit.com.  Simply purchase and download to your computer, then sync your phone with your desktop to add the application.

Will Gwabbit still work if I switch wireless carriers?

Yes.  Our BlackBerry version of gwabbit is licensed according to your smartphone's unique personal idenfication number (PIN).  So if you activate your BlackBerry with a new carrier, gwabbit will continue to work just fine.

Using gwabbit

What does gwabbit do? -Step by step

  1. When you open Microsoft Outlook, gwabbit is ready to go. There is no need to open the gwabbit program separately. A gwabbit toolbar appears in Outlook:

gwabbit toolbar for Microsoft Outlook 2007
    Outlook 2007 shown

  2. You check your email in Microsoft Outlook, just as you always do.

  3. gwabbit automatically scans the emails you receive as they come in. gwabbit looks for specific information the sender has included, including the person's name, job title, company, address, and phone and fax numbers.

  4. gwabbit checks if you have the contact already. If you do, it checks whether there is new or updated information in this email.

  5. If gwabbit detects a new contact or updated information:
gwabbit "pops up" a dialogue box.

gwabbit pop-up window to gwab contact info

    6. Click the dialogue box, gwabbit opens a contact window and puts each piece of information in the correct field. If it looks good to you, click "Save" to create the contact or to keep the information.

When will gwabbit gwab contact information?

Contacts will be recognized when your Outlook reading pane is open or the email itself is open (the auto-preview doesn't count; only the reading pane)

But people end their emails in all sorts of ways, how does gwabbit do it?

gwabbit uses sophisticated algorithms (hard math) to identify what belongs in the contact. gwabbit is smarter than the average bear… or rabbit.

Does gwabbit work for emails in languages other than English?

Yes, although less reliably. Expect gwabbit to find many signature blocks in non-English emails. The "Improve Results" button on the Contact window can help. gwabbit's Klingon, however, is terrible.

What happens if there is no signature block?

Even without a signature block, gwabbit can create a contact for you with whatever information can be gleaned from the email, such as the sender’s email address and name.

Can I control the prompt to gwab a new contact?

You can regulate the prompt by going to the Options button in the gwabbit toolbar.

In the "General" tab, you will find several options for control of the frequency of the pop-ups associated with gwabbing contacts from your emails. For each option presented, select the radio button that indicates your preference to control how the product will work for you.

Outlook says this contact is a duplicate. Help me out here.

gwabbit recognizes changes in a signature line. So if the contact has provided a different phone number, address, or other piece of information, gwabbit will prompt you with the contact. If you choose to gwab the contact, a pop-up will appear showing that a duplicate contact has been detected. You will see the existing business card on the left, and on the right you will see the changes to the contact information for comparison purposes. You can choose to add a new contact or update the existing contact by selecting the appropriate radio button and clicking "Update". Or you can simply disregard the changes and press "Cancel".

The gwabbit toolbar does not stay where I place it in Outlook. Why does it move around when I open a message?

The gwabbit toolbar appearing on Outlook's main screen will maintain its position. The persistence of toolbar placement in the message and contact windows is controlled by Outlook itself, it is not controlled by gwabbit. If you have other Outlook plug-ins, you will find that their toolbars behave in a similar way. Please check Outlook Help files on toolbars, to determine options for docking toolbars in your particular version of Outlook.

Why isn't the "Display as" field filled in by gwabbit when I save a contact?

The "Display as" field is not populated by gwabbit, but is populated by Outlook as a default, based on the information entered in the contact name fields when the contact is created. So you will not see it populate when the contact is created, but it should be populated when you go back to the contact later.

Improving Results

gwabbit will automatically find and recognize the contact in your email the vast majority of the time. However there are occasionally certain types of emails or contacts that may confuse gwabbit. For example, when an email includes multiple contacts (gwabbit is accustomed to looking for a single contact), or a contact is in an unusual format. If you do happen to run into a case where gwabbit doesn’t automatically recognize your contact, you can use the Improve Results feature, explained below. You can also use the “Submit Feedback” button in the product to send us your example. These examples help us in our ongoing effort to improve the product so that gwabbit can continue to help improve your Outlook!

gwabbit didn't pop-up? No Problem.

Select the message.

Click the "gwabbit" button (on the gwabbit Toolbar) to analyze the message. An "Improve Results" box will pop-up for contacts that are only email addresses.

You can manually start "Improve Results" in the Outlook Contact window. For Outlook 2007, click the gwabbit menu tab to see the "Improve Results" button.

gwabbit improve results toolbar
Outlook 2003 shown

For earlier Outlook versions, the "Improve Results" command appears on the Contact window menu bar.

After I use “Improve Results”, I don’t see a way to save the contact in Outlook 2007, why?

In Outlook 2007, the gwabbit toolbar appears in a separate tab called "gwabbit". To Save the contact after improving results, you must click the “Contact” tab at the top of the page to access the “save” buttons. For earlier Outlook versions, the "Improve Results" command appears on the Contact window menu bar.

What happens when I use the Submit Feedback button?

If you have a question about how a particular contact is handled by gwabbit, you can send us the contact and your comments by using “Submit Feedback” button in the gwabbit toolbar. A pop-up appears with your email address pre-populated and a text box for your question or comments. When you click "submit", an email is then sent to us with the HTML of the email from which you were trying to gwab the contact and the comments you provide. We do not respond to feedback individually, but we do use the information to help us improve the product. If you have a question or comment for which you wish to receive a reply, please contact Support.

Outlook exclaims: "The text or attachments in the current contact's message body will not be copied to the existing contact. If you wish to keep the new message body information, select Cancel and make a copy of it. If you don't need the new information, select OK." What does this mean and what should I do?

Outlook is referring to the contact notes when it says "current contact's message body." Outlook is telling you the new Notes will not be written to the existing contact. This is usually fine, and you press "OK."

Setting Your Options

Can I control when the gwabbit prompt appears?

I don’t see the gwabbit Toolbar after installing the product?

First, please try rebooting your PC. Sometimes Outlook continues to run in the background even though it appears to be closed. By rebooting your computer, this assures that the application is fully closed and the gwabbit software can install properly. Once you restart Outlook, the toolbar should appear.

If after a restart of your PC the gwabbit toolbar does not appear, it may be disabled. Sometimes Microsoft Outlook add-ins will be in a disabled state when Outlook starts due to variables in individual PC environments. To get the toolbar to appear, please follow these steps:

In Outlook, Go to Tools > Customize > Toolbars
• Look to see if gwabbit is there and if so make sure it is checked.

If you do not see gwabbit there, the next step is to determine if it disabled as an Add-in.

For Outlook 2007:
• Go to Tools > Trust Center > Add-Ins.
• Look to see if gwabbit is listed as an Active Application Add-in.
• If it is listed as inactive or disabled, press the "Go" button at the bottom of the screen next to "Manage" Com Add-Ins.
• Click on gwabbit and OK to re-enable it.

If you are still not seeing the toolbar:
• Click on Outlook Help > Disabled Items
• Find and highlight gwabbit
• Click Enable, Save changes
• If the toolbar is not visible immediately, restart Outlook

For Outlook 2003:
• On the Tools menu, click Options, and then click the Other tab.
• Click Advanced Options, and then click COM Add-Ins.
• To enable the add-in, select the check box next to gwabbit and click OK.

If you are still not seeing the toolbar:
• Click on Help > About
• Select Disabled Items
• Find and highlight gwabbit
• Click Enable, Save changes
• If the toolbar is not visible immediately, restart Outlook

If the toolbar is still not appearing, gwabbit may not be installed. You can check this by going to your Control Panel (Start>Settings>Control Panel) and clicking on "Add or Remove Programs". If gwabbit is not in the list of programs, please go to the Installation/Unistall section of the FAQ section.
